ORLANDO STAGE CO.
Privacy policy
Updated October 28, 2026
How Orlando Stage Co. handles inquiries, event addresses, designs and customer records.
Information you provide
When you request a quote, we collect your name, email, event date, stage requirements and event address. Your phone number, venue name and additional notes are optional. An event address helps us check venue access and estimate delivery and pickup travel. If you use the stage or room builder, your submitted request can include stage images, layouts, design files and an uploaded venue plan. Please leave guest names, identification documents, payment-card details and other unnecessary personal information out of your notes and uploads.
We also keep correspondence, quote revisions, booking details and payment records associated with your event. The client portal displays the event documents and payment entries shared by our team; the site does not ask you to enter payment-card details.
Private design tools can save your design title, room dimensions, furniture, stage, mandap and flower settings. Keep the saved design link and shared studio password private. Original inspiration images and room videos are processed in your browser and are not included in the saved design record.
How we use it
We use these details to answer your inquiry, prepare and revise a quote, estimate travel, plan installation and pickup, provide event documents, record payments and respond to support or privacy requests. Relevant venue, schedule and setup information may be shared with the crew working on your event. Submitting a quote or feedback form does not enroll you in a marketing mailing list.
Services that handle information
- Website hosting: OpenAI Sites and its hosting infrastructure, including Cloudflare, process requests and store website records and submitted files. Hosting and security services may process connection details such as IP address, browser information and request logs.
- Email: Resend delivers inquiry notifications and event emails. Email providers process the recipients, message contents and attached files needed to deliver them.
- Internal records: our quote workflow supports export to Google Sheets. When that connection is used, inquiry details and internal tracking notes are stored in Google services. Copies may also exist in our business email.
- Address suggestions: while you type an event address or venue, our server sends the address search text to Photon, hosted by Komoot, to find matches using OpenStreetMap data. It does not include your name, email, phone number or other quote fields. You can choose “Enter manually” to turn suggestions off. Search results stay temporarily in the page while it is open; address searches are not saved to quote records unless you submit the form. Temporary counters help limit excessive requests.
- Travel estimates: the U.S. Census Bureau geocoder receives addresses to locate the venue and route endpoints. The OpenStreetMap Germany routing service receives coordinates to estimate travel distance. These requests do not intentionally include your name, email or phone number.
- Website fonts: Google Fonts delivers the fonts used on public pages and receives the network request needed to serve them.
- Owner sign-in: ChatGPT authentication is used for the owner workspace. Customers can request quotes without that login.
These providers operate their own services and may process information under their own privacy terms. We may also disclose records when required by law or needed to handle a legal claim. The website does not publish your submitted event details in its public gallery.
When available, choosing an AI design action sends resized inspiration images or selected video frames, your written design requests, recent design conversation, current design settings and supplied room dimensions to OpenAI to suggest colors, floral styling or an approximate layout. Color extraction alone stays on your device. AI suggestions are editable concepts and may be inaccurate. Please avoid uploading faces, guest lists or other unnecessary personal information. OpenAI processes AI requests under its own service and privacy terms.
Cookies and browser storage
The current application does not include advertising pixels, behavioral analytics or an automatic marketing signup. Hosting and sign-in services may use essential security or session cookies. Stage and room edits are held in the current browser session until you submit them; leaving the page can lose unsent work. A client portal link gives access to event information, so share it only with people you authorize.
If optional tracking is introduced, we will update this notice and provide any choices required for that use. You can manage cookies through your browser; blocking necessary cookies can affect sign-in.
The private design tools use an essential, secure session cookie lasting up to seven days. Locking the studio revokes that session. Password attempts use a hashed connection identifier for temporary rate limits. Saved designs persist until removed in response to an applicable request; keep their private links to reopen them.
Retention and security
Records can exist in the website, uploaded-file storage, business email and Google Sheets. There is currently no automatic deletion schedule for inquiry or booking records. We review deletion requests manually across the systems we control. Records needed for an active booking, accounting, tax obligations, dispute resolution or another legal obligation may need to be retained; we will explain an applicable reason when responding.
Owner tools require sign-in, and client documents use private access links. Keep your portal link private and contact us if it has been shared unintentionally. No internet service can promise absolute security.
Your choices and requests
You can ask us to correct information, explain how it is used or delete information we no longer need. Email sales@orlandostageco.com from the address used for your inquiry and include your event date or quote reference if available. Please do not send a government ID or payment-card number. We may need to verify that the request relates to your records before disclosing or deleting them. See Privacy and data requests for the process.
Children and policy updates
This service is intended for adults arranging events. Please contact us if you believe a child under 13 has provided personal information so that we can investigate and remove it where appropriate. We may update this policy when our services or data practices change. The date on this page identifies the current version.
