A stage quote is easier to evaluate when it describes the same scope that your event team expects. Before comparing proposals for an Orlando event, put the dimensions, finishes, delivery details, and timeline into one brief.
Describe the platform
Include the width, depth, desired height, and overall shape. For a tiered build, identify which panels sit at each level. A measured sketch or a saved Stage Builder image makes the intended layout easier to understand. Include stairs and their orientation rather than assuming they fit within the platform footprint.
Define the finish
Specify the visible sides, the facade material, the deck treatment, and the finish on any stairs. If you are comparing acrylic and cloth, ask for clearly separated alternatives. Share a color reference when matching another supplier's materials matters.
Explain the event use
Tell the staging provider what the platform will support. Supply the production team's equipment list and dimensions, including any furniture or scenery. The provider needs those details to review the proposed system; platform area alone is not a load specification.
Confirm access with the venue
Provide the venue address, loading instructions, access route, and any restrictions the venue has given you. Check whether the build location is on another floor and whether an elevator or loading appointment is involved. Ask the venue what documents and approvals it needs from suppliers.
Include the full timeline
List the earliest load-in time, the deadline for completing setup, the event end time, and the required strike window. If multiple suppliers share the same access route, tell the team how that coordination will work. Avoid describing only the event start time.
Compare the same scope
Check that each proposal identifies the platform, finishes, stairs, delivery, crew, setup, and strike. Ask which assumptions could change the price. This is more useful than comparing headline rental numbers for builds with different dimensions or logistics.
