A useful stage brief starts with what will happen on the platform. A DJ booth, a seated ceremony, and a presentation with several speakers need different arrangements, even when they share the same ballroom. Start with a measured room plan, then build the stage around the people and equipment that need to fit.
Start with the usable room, not the guest count
Ask your Orlando venue for a current floor plan and confirm the measurements of the actual installation area. Account for doors, columns, fixed furniture, and the routes the venue needs to keep clear. Guest count alone does not tell you the right stage size. A long, narrow room can need a different arrangement from a wider ballroom with the same attendance.
Calculate the number of 4×4 panels
Each 4×4 ft panel contributes 16 square feet of platform area. A rectangular 16×12 ft stage uses 12 panels: four across and three deep. A 24×16 ft stage uses 24 panels: six across and four deep. These are layout examples, not occupancy or load-capacity recommendations.
For an L-shaped stage or a stage with a runway, count each occupied panel once. The outer footprint includes any gaps, so it can be larger than the actual platform area. Our Stage Builder shows both measurements to keep that distinction clear.
Draw the equipment before settling on dimensions
List the size of the DJ booth, console, instruments, furniture, or presentation setup that will sit on the stage. Add space for the people using that equipment and for the movement the event requires. Ask the production team to review the layout before the dimensions are finalized.
Allow for stairs and height changes
A staircase extends beyond the platform footprint. Include its full projection in the room plan, along with the approach to it. If you want a tiered stage, identify the height of each section and how people will move between levels. Accessible access and any edge protection need to be reviewed with the venue and staging provider; a 3D concept does not approve those requirements.
Send a complete request
A useful quote request includes the event date, venue address, proposed footprint, desired height, finish, delivery access, and setup and strike times. Include the dimensions of any equipment that will be placed on the stage.
